Fault Recording and Repair Order Allocation

Services, Vehicle Usage and Repair Order Allocation

The flexible nature of the ComplianceMate system means that the recording, tracking, allocation and reporting of Faults and Services can be achieved in a variety of ways.

1.Fault Recording and Allocation

Faults can be recorded in 3 ways using the ComplianceMate system:

  1. The Fault Allocation option - under the Maintenance sub menu in the Compliance Entry menu. Simply right click the grid to add/edit/delete faults. You can assign a Repair Order Number to a record (even if the Repair Order has not been entered into the system yet).
    It is IMPORTANT to note that the information in the Fault record will only be transferred to the corresponding Repair Order when the appropriate Apply box is ticked. It is ALSO IMPORTANT to note that once the Apply box is ticked the Fault can no longer be edited.

  2. Faults tab – of either, the Vehicles, Trailers, Containers Equipment options in the File menu. Simply right click the grid to add/edit/delete faults.
    It is IMPORTANT to note that the information in the Fault record CANNOT be Applied to a Repair Order from this screen (to Apply a Fault to a Repair Order go to the Fault Allocation screen)

     

  3. The Modify Details button – of the Enter Repair Order option under the Maintenance sub menu in the Compliance Entry menu.
    It is IMPORTANT to note that any modifications to Fault records from this screen will NOT be reflected in the Fault Allocation registry. In addition these changes will NOT show up in the Faults/Services Inclusion section of the Compliance Report.

 

2. Services, Vehicle Usage and Repair Order Allocation

 

In ComplianceMate the recording of Services is handled primarily by the Repair Order system. Simply enter the Service details (include Service Type and Status) in the Repair Orders option under the Maintenance sub menu in the Compliance Entry menu.

In order to regulate the frequency with which these Services are required you can create a Service Schedule for:

  1. Vehicles - in the Serv. tab of the Vehicles option under the File menu

  2. Trailers - in the Schedules tab of the Trailers option under the File menu

  3. Equipment - in the General tab of the Equipment option under the File menu

Using the Vehicle/Trailer/Equip. Usage option under the Maintenance sub menu of the Compliance Entry menu you can record current usage records (odometer readings, hrs in use etc).

The above information will allow ComplianceMate to determine when a Services needs to be allocated to particular Vehicles/Trailers/Equipment.

To monitor when your Vehicles/Trailers/Equipment require servicing simply go to the appropriate Services Due Report under the Service Reports sub menu in the Reports menu.

NOTE: Overdue Services will appear in the Faults/Services Inclusion Report in the Compliance Reports option under the Reports menu.
